Lecture Presenter Guidelines
Registration
All presenters (unless specified otherwise in your invitation) must register the Crohn’s & Colitis Congress and pay the appropriate registration fees.Session Details
Log into the participant portal to review your invitation. You may also review the Congress agenda to view additional session details.Prepare Your Slides
- Use of the Congress PowerPoint template is suggested, but not required.
- Session room computers will be configured for a 16:9 aspect ratio.
- All presentations will take place on PCs optimized for PowerPoint files.
- Keynote and Prezi files will not be supported.
- We recommend converting PPT files to the PPTX format. You can find the convert feature located under “File, Help” when you have your PowerPoint open.
- Only fonts included with Office 2019 will be supported. For a list, see this article.
- Please see this article for file formats supported within PowerPoint.
- If your presentation will include a video, please consider compressing it. If you have authored your PowerPoint as a PPTX, there are tools within PowerPoint to do this automatically. Instructions are found here.
- For videos, we recommend H.264 encoding at less than a 5Mbps bitrate for best performance. Typical resolutions in the meeting room will be 1024×768 for 4:3 presentations and 1280×720 for 16:9 presentations. A 1080p, maximum bit rate encoding will bloat the size of your presentation with no visual improvement and may actually hurt performance.
- Session room computers are not connected to the Internet. Links to web pages will not function and may cause issues if clicked accidentally during your presentation. We strongly recommend removing all internet links from your presentation.
- Presentation slide decks will be made available to Congress attendees in the Congress Mobile App and Online Planner. Slides cannot be redacted from these resources.
- Presenters are responsible for verifying all images and text in their presentation are in compliance with copyright and all other applicable laws.
- Presentations must strictly AVOID incorporating any brand names, trade names, or logos. In cases where brand names are mentioned, they should encompass all analogous drugs or devices intended for the same indication, all while refraining from any form of marketing or sales promotion.
- Content must exclusively consist of recommendations that are not only accurate but also balanced and scientifically justified. Consider using the following best practices when presenting clinical content:
- Clearly describe the level of evidence on which the presentation is based and provide enough information about data (study dates, design, etc.) to enable learners to assess research validity.
- If there is a range of evidence, ensure that the credible sources cited present a balanced view of the evidence.
- If clinical recommendations will be made, include balanced information on all available therapeutic options.
- Address any potential risks or adverse effects that could be caused with any clinical recommendations.
- The final slide should summarize the top three or four main points of your presentation.
Photo Policy
The Congress photo policy allows attendees to take photos for personal, social, or non-commercial use; however, presenters have the right to request no photography. If you do not wish to allow photos, you may add this “no photos” image to your slides.Submit Your Final Slide Deck
All speakers are required to submit their final, presentation-ready slide deck in advance of their session. Slide decks may be submitted before the meeting or onsite at Speaker Headquarters.Pre-meeting Upload
- Final slide decks can be uploaded to the presentation upload site through 5 p.m. EST on Monday, Jan. 19, 2026.
- To upload your slides, log into the presentation upload site.
Onsite Upload at Speaker Headquarters
- If you did not upload your slides to the presentation upload site prior to the Congress, visit Speaker Headquarters at least two hours prior to the start of your session time to upload your final slide deck.
- Please arrive at Speaker Headquarters with your presentation saved to a USB drive, which you will use to upload your presentation.
- Presenters who need to make changes to slide decks previously submitted at the speaker portal may also visit Speaker Headquarters to make needed edits.
Speaker Headquarters, located in room Donatello 2/3, will be open during the following dates and times:
- Wednesday, Jan. 21: 5–7 p.m. PST
- Thursday, Jan. 22: 7 a.m.–7 p.m. PST
- Friday, Jan. 23: 7 a.m.–7 p.m. PST
- Saturday, Jan. 24: 7–10:45 a.m. PST
Onsite in Las Vegas
- When you arrive at the Bellagio, head to the registration desk, located in Grand Ballroom, to pick up your attendee badge and a presenter ribbon. You may also obtain a presenter ribbon at Speaker Headquarters.
- Presenters are required to check in at their session rooms 30 minutes in advance of the start of their sessions (not their presentation times).
- During your presentation, you will view and advance your slides using a laptop computer placed at the podium.
- You will be able to use PowerPoint presenter view if desired.
- Congress staff and technicians will be available if you need assistance during your presentation.

Registration
All presenters (members and nonmembers) must register for the Crohn’s & Colitis Congress and pay the appropriate registration fees. Poster presenters are not automatically registered for the Congress scientific sessions or housing. You will not be permitted into the Poster Hall without an attendee badge, which you must obtain by registering for the meeting.Poster Presentation Date and Time
Poster presentations will take place during the Poster Hall Reception on Friday, Jan. 23, from 5–6:30 p.m. PST. Additional registration is not required for this event.Poster Setup and Removal
Poster presenters may access the Poster Hall starting at 12 p.m. (noon) PST on Friday, Jan. 23, to hang their posters. Push pins and poster presenter ribbons will be available to presenters in the Poster Hall, and presenters may proceed directly to their assigned boards upon entry.The Poster Hall Reception will take place from 5–6:30 p.m. PST on Jan. 23. Any posters or items remaining in the Poster Hall after the conclusion of the reception at 6:30 p.m. will be discarded.
Please note that Congress staff are not available to accept shipments or hang posters on behalf of presenters.
Poster Number
Each poster board is assigned a number corresponding to the poster numbers listed in the in the program. For example, P100 will be located at poster board 100. Please only use the board that corresponds with your poster number.Poster Size
Poster boards will be 4 feet high by 6 feet wide; therefore, that is the maximum size of a poster. Congress administration will provide push pins to affix your presentation to the poster board along with a poster presenter ribbon at tables located throughout the Poster hall.Required Poster Information
Poster presentations should include full disclosure information for the entire author string. No product-specific promotional material or event may appear or occur in educational space or material or during an educational activity.Photo Policy

If you do not wish to allow photos, you may add this “no photos” image to your poster.Suggested Guidelines for Preparing an Effective Poster
There is no required format or orientation, so you may format your poster as you wish provided that it does not exceed the 4’ by 6’ size limitation. Congress administration suggests the following:- Text Lettering: Lettering for text and illustrations should be at least a font size of 30 points.
- Depicting Sections: A font size of 50 points is suggested to guide the reader through your poster. Color is an effective method for separating sections and adding graphic impact. Try to avoid color combinations that are difficult to read.
- Premise: Your poster should include three to five brief sentences that outline information necessary to understand the study and why it was performed. The question(s) to be asked or the hypotheses tested should be clearly and succinctly stated.
- Methods: Outline your methods briefly, providing only details for new methods, or modifications of older methods.
- Graphics: Results presented in the form of a graph or chart are always more effective than blocks of text. Provide a legend for symbols and other details and interpretation of results below each panel.
- Conclusion: State the conclusion succinctly in large type. Many viewers read this first; hence, it should be easily understandable.
